Stand Construction and Decoration

Any exhibitors are able to rent exhibiting space of at least one booth of 3 x 3 m. (9 sq.m.) either with standard booth system or raw space, while the exhibitors may set up their own design exhibiting stands hiring other contractors. However those exhibitors who set up their exhibiting stands themselves are requested to thoroughly study the rules and regulation of booth settlement procedure conformed to this manual.

The guidelines for Stand Construction and Decoration are as follows : -

1. Using Standard Booth System
1.1 One standard booth sizes 3 x 3 m. (9 sq.m.) consisting of following equipment : -
- White wooden PVC coated system partitions, 3 sides, 2.5 m. height
- Wooden fascia with exhibitor's name and booth number
- Dark grey needle punch carpet
- 1 Information desk (XT001)
- 2 Folding chairs (XC004)
- 1 Lockable cabinet (XA004)
- 1 Waste plastic basket
- 1 Socket outlet 5 Amp.
- 3 Spotlights 100 w.
- 1 Floating shelf 0.3 x 1.0 m., 1.2 m. height from floor (XA019)

1.2 For any exhibitors wishing to rent standard booth system, please contact XCON Co.,Ltd. directly to reserve the standard booth system and making payment. However please fill in the FORM 5 and return to XCON by fax or e-mail before 5 May 2009. Any exhibitors renting the standard booth system after 5 May 2009 will be charged higher rate.

1.3 Rules and Regulation for the Use of Standard Booth System
1.3.1 It is prohibited to alter with any other materials, or paint, or nail, or punch, or screw, or using the wire to hang any parts of booth’s panels. Otherwise the exhibitors must be responsible for all the damages and charges occurred.

1.3.2 Any exhibitors hiring standard booth systems must carefully inspect the quality of booth systems, decorative equipment, furniture, lighting fixtures before using them. Whether there are any defects or missing parts, please inform the Official Contractor for correcting, changing, otherwise it is the exhibitors’ own responsibilities, incase of any damages of their exhibits / products

1.3.3 The Official Contractor will fix the position of all electrical equipments in the standard booths. If any exhibitors wish to change electrical equipment and positions, please fill in FORM 14 and return to A Plus Utility Management Co.,Ltd. before 7 May 2009.

1.3.4 The Organizer provides necessary equipment in each standard booth. All exhibitors hiring standard booth system are supposed to use all the equipment provided. If any exhibitors do not need any equipment in the standard booth package, they must accept the costs of the package will not change and there will be not compensation by other equipment.

2. Special Stand Construction (Exhibitors’ Own Construction)
Any exhibitors applying for raw spaces only may hire the Official Contractor or other contractors to build a special stand. In the case of hiring other contractor, the exhibitors and their booth contractors are requested to comply with following rules and regulation of special stand construction : -
2.1 Fill in FORM 1 attaching drawings of elevations, layouts, perspective views, floor plan, materials used, stand size (width x length x height), electricity outlet position and return to the Organizer before 5 May 2009. The Organizer will not allow the exhibitors and their contractors to work in the exhibition halls if the plans are not approved.

2.2 The heights of the stands will not exceed 4.00 metres in Hall 1, and not exceed 5.00 metres in Hall 2 and Hall 3, while the heights of the standard booths are 2.50 metres. Any stands with heights are exceeded 5.00 metres must be approved by the Organizer and the administrator of the exhibition halls 1 month in advance. The exhibitors must declare details of stand design, floor plan to the organizer for approval and must manage all access details, front, back and 2 sides of the booths neatly.

2.3 In case any exhibitors do not conform to set up the special stands as same as those plans approved, or wrong size, or use wrong material, the exhibitors must be responsible for any damage occurred.

2.4 The Organizer will mark the space for stand construction for each exhibitor on the floor of the exhibition halls. Any enquiry concerning the spaces, please contact the Official Contractor.

2.5 The contractors of special stand construction of any exhibitors must use Contractor Badge during working in the exhibition halls beginning on 2 June 2009 at 09.00 Hr.

2.6 There will not be any electrical setting or electric power in raw space ordered, either the exhibitors or the contractors of the exhibitors must contact directly with A Plus Utility Management Co.,Ltd. by filling in FORM 14 and return to the company before 7 May 2009.

2.7 Each booth must have its own panels. It is not permitted, for any exhibitors renting raw space to use the neighbor’s panels (left, right and back side). If the panels are taller than the one behind or beside, the exhibitors must manage the excess parts neatly.

2.8 In case the exhibitors use floor covering, please use the appropriate form of floor coverings.

2.9 During the stand construction, the contractors must cover the floor with appropriate materials to avoid any damage to the floor coverings of the exhibition halls. Please use only easy-to-clean tapes specifically for carpet. If there are any damages to the floor covering of the exhibition halls, either the contractors or the exhibitors must be responsible for all expenses of the damages.

2.10 No permission for color spraying, color painting, or any uses of electric sawing, welding machines or any other equipment that will make fire sparks in the exhibition halls.

2.11 No permission to use any wires to secure the booth structure to the floor or walls of the exhibition halls.

2.12 No permission to place any materials, objects, construction materials, wastes etc. that block the walk ways in the exhibition halls.

2.13 No permission to bring any advertising materials or any objects exceeded the stands.

2.14 No permission to hang any objects on the main electric lines, fire extinction of the exhibition halls.
